How do you reconcile the WIP?
Run a reconcile report for the required day and double click on the Work In Progress option. On the report that is displayed take a look at the "Balance" column - this is the Work In Progress from a ledger perspective.
Run a Schedule Nominal for 1.20.60.90 - this is the Work In Progress from a nominal perspective.
This should balance or not be far off - any small items it is advised to write off.
There is a routine in Navigator that will automatically run at the end of each month and write off any required balances.
It is advised that you do your reconciliations weekly.

How do you reconcile Parts?
It is incredibly difficult to reconcile parts. It is recommended that you reconcile this weekly and any small differences found are written off.

How do you reconcile Vehicle Stock?
Run a nominal reconciliation report - this will show if there is an imbalance between the nominal and ledger.
If there is an imbalance, you can double click on the required vehicle stock line - this will then display a list of stock records and which records have an imbalance on them.
You can then run a transaction report for this stock number - filter by nominal code - you should then be able to see where the figure is coming from. Most of the figures displaying in 1.3*.60.80 should resemble what is shown on the cost analysis on the stock record except for the closing batch.
It is advised to do the reconciliation on a weekly basis.

How do you reconcile the Sales Ledger and Purchase Ledger?
Run a nominal reconciliation report - this will show if there is an imbalance between the nominal and ledger.
If there is an imbalance, you can double click on the Purchase or Sales Ledger line - this will then display a list of accounts and show which accounts have an imbalance.
If there is a balance on this report but doesn't show an account number this is more than likely due to a journal that has been posted. Run a transaction report for the required nominal and then filter by account number. The entry with no account number will display at the top of the report.
Again, other imbalances against an account number can be caused by journals that have been posted so find out what date the reconcile went out of balance (the last date the reconcile for this account balanced to zero) and run a transaction report for this period to see if you can find the entry.
An imbalance can also be caused by posting an invoice with a nominal date in one month and the invoice date in another - these are not as simple to find as journals.

How do your reconcile Vehicle Debtors?
The vehicle debtors should only be reconciled as of today's date.
Go to the vehicle admin and run a debtors report - selecting all branches if it is one company.
On the schedule nominal run a report for 1.3*.60.83 for today's date.
This two reports should match.

How do you reconcile Warranty Debtors?
The warranty debtors should only be reconciled as of today's date.
Go to the Warranty Ledger and press search to view all current claims. Then run a schedule nominal for 1.20.60.45.
The only issue with doing this is you need to do it when nobody is using the ledger otherwise the figure will just keep changing.

How do you reconcile the GANI?
Run a nominal reconciliation report - this will show if there is an imbalance between the nominal and ledger.
If there is an imbalance, you can double click on the GANI line - this will then display a list of accounts and show which accounts have an imbalance.
If there is a balance on this report but doesn't show an account number this is more than likely due to a journal that has been posted.
If there are other imbalances against an account this can be written off if it is a small amount - if it is a larger amount it can be more difficult to find. Contact the helpdesk who will help you allocate this figure.

Volkswagen have introduced a requirement for us to report parts stock analysis as part of our submission for 2013; From Volkswagen submission guide: “Parts stock aging now required (0-90 days, 91-180 days, 181-270 days and 270+ days)“. How can this be done?
Go into the Nominal Ledger and select the Reconcile Option. There are no figures, but if you report on the month end and then double click on the "Part Stock" line on the report it will recall the end of the month stock report. Export the report to spreadsheet and you will be able to analyse from there.

What are batch 0 (Non Zero Corrections) postings for in nominal account 0.0.70.98?
Batch 0 postings that show in nominal code 0.0.70.98 are a system self correction posting.
The system posts a o batch if it finds a batch posting that does not balance correctly to zero. The purpose of this account is to keep the accounts balanced

How do you correct a batch 0 posting in 0.0.70.98?
To correct a batch 0 posting you do the following:
1. Go into the nominal ledger and select the reports option.
2. Go into Transaction Reports and enter nominal code 0.0.70.98. Also enter a To and From date then select "Report".
3. All the non zero corrections will appear as a batch zero. Keep a note of the dates of the transactions.
4. Reset the report.
5. Run another transaction report (with NO nominal code) and enter the To and From date as the date that batch 0 was posted.
I.e From Date: 22/02/13 and To Date: 22/02/13
6. Filter the report by batch (Drag the blue box "Batch" to the grey bar are the top of the screen).
7. If you now look through this report you should be able to find the batch that does not balance (they will be the only batches that do not balance to zero).
8. Review the batch that does not balance to zero and post the relevant journals removing the figure from 0.0.70.98.
